User Profiles

Create and manage clinic users, roles, access, branches, fees, salary settings, portal details, and multilingual profile content.

Open Settings → Users → User Profiles.

The production URL is User Profiles.

User Profiles control who can sign in, what role they have, where they work, how they appear in patient-facing areas, and how their access and salary settings are applied.

What User Profiles control

A user profile can include:

  • name and photo;
  • role;
  • account access status;
  • email or sign-in details;
  • branches;
  • groups and fees;
  • patient portal profile details;
  • online booking availability;
  • speciality;
  • salary settings;
  • access details;
  • translated profile content.

Multiple languages

User profiles support language tabs for profile content such as display name and patient portal text. This is useful when doctors are shown online or inside multilingual patient-facing workflows.

Create User

  1. Open Settings → User Profiles.
  2. Click Create User.
  3. Enter the user's name and contact details.
  4. Choose the role.
  5. Enable account access if the user should sign in.
  6. Assign branches, groups, and fees when relevant.
  7. Configure patient portal and online booking details for providers shown to patients.
  8. Add salary settings if salary reporting is used.
  9. Add translated profile content when needed.
  10. Click Create User.

Access and salary shortcuts

Inside a user profile, use Access Details to review or adjust that user's permissions. Use Salary to review or adjust salary-related rules for that user.

Access templates and salary templates can come from the selected role, but individual profiles may still need review before the user starts working.

Update User

Open the user, update profile details, role, enabled status, branches, portal content, online booking, access, salary, or translations, then click Save Changes.

Review provider profiles carefully if they are visible in online booking or the patient portal.

Disable or restore a User

Use the row action menu or profile status control to disable a user who should no longer access the clinic. Disabled users can be restored if the clinic needs them again.

Use disabling for staff changes when you want to preserve historical records connected to that user.

Delete User

Use the delete action only when the profile was created by mistake or clinic policy allows removal. In most real staff changes, disabling is safer because old appointments, procedures, payments, and reports may still reference the user.
