Roles and permissions

Understand how role-based access controls what each clinic user can do.

Dentaltap uses role-based access so each team member can work with the areas they need. A role is applied through a user profile, while its detailed permissions are configured in Access Control.

How access is assigned

  • User profile: identifies the team member, their role, branches, and account status.
  • Role template: provides the normal permission pattern for users with that role.
  • Access Control: defines whether the role can view, create, update, delete, configure, or access records for themselves only.

Review a role

  1. Open User Profiles.
  2. Open the user profile you want to review.
  3. Check the selected role and account status.
  4. Open Access Rules to review the role template.
  5. Test the result with a user in that role when possible.

Keep permissions simple and use exceptions only when they are needed. A role should provide enough access for the job without exposing unrelated clinic or patient information.

Common role patterns

Clinics often give receptionists, doctors, managers, and inventory staff different access. Your clinic can adjust these patterns to match its workflow and privacy requirements.
