Visits and Patient Flow Report
Open Reports → Visits.
Visits explains patient flow. Use it to understand appointment volume, attendance quality, new patient activity, online bookings, and patients who may still need a next visit.
What Visits contains
The Visits report includes these main cards:
- Appointments: total appointments, no-shows, and cancellations.
- New Patients: initial visits, including no-shows and cancellations for new patients.
- No Follow-Up: patients who do not have a future appointment recorded.
- Bookings: online and direct bookings.
Each card shows the selected period and a comparison with the previous matching period.
View appointment details
Click View Report on the Appointments card to open the appointment detail report.
The detail report can include appointment date and time, patient, room, doctor, queue timing, arrival time, start and end time, next visit, phone, appointment stats, and an Open Patient action.
Use this when you need to audit attendance, review schedule quality, or follow up on no-shows and cancellations.
Review new patients
Click View Report on the New Patients card to see initial patient appointments.
This helps the team understand how many new patients entered the clinic and whether those patients successfully attended. A high cancellation or no-show rate for new patients usually deserves operational follow-up.
Review patients without follow-up
Click View Report on the No Follow-Up card to find patients who do not have a future appointment.
This is useful for receptionists, coordinators, or doctors who want to make sure treatment does not quietly stop after a visit. The list can be used as a call queue or review queue.
Review bookings
Click View Report on the Bookings card to review online and direct bookings.
Use this to understand how patients are booking and whether online booking is helping the clinic fill the schedule.
Charts
Visits includes charts for:
- appointments by date;
- new patients by date;
- appointments by group;
- appointments by duration;
- patients by age.
The appointment and new-patient charts separate total, no-show, and canceled counts. This makes it easier to see whether growth came from successful visits or from bookings that did not happen.

- Use the date range and branch selector before reviewing counts.
- Open View Report for the records behind a card.
- Use table filtering and sorting inside detail reports when available.
- Use Open Patient to move from a report row to the patient profile.
- Use Download Report to export the active Visits report.
