Financial Reports and Billing Analysis

Review payments, invoices, procedures, credits, refunds, discounts, taxes, debts, and financial drilldowns.

Open Reports → Finances.

Finances explains how money moved during the selected period. Use it when you need to review payments, invoices, procedure production, credits, refunds, discounts, taxes, and outstanding balances.

Procedure setup, doctor assignment, payment types, discounts, and tax handling affect how finance reports are grouped and understood.

What Finances contains

The Finances report includes three main summary cards:

  • Payments: total received payments, applied credits, taxes, and discounts.
  • Invoices: invoice totals, paid amount, debts, and canceled invoice values.
  • Procedures: procedure totals and quantity, with confirmed, in-progress, and planned amounts.

Below the main cards, finance KPIs show:

  • Net Inflow: current net financial movement compared with the previous period.
  • Credits & Refunds: new credits, returns, and refunds.
  • Credit/Debit Notes: credit note and debit note totals.

In this report, Returns means returns of patient advance credits. Refunds means refunds of invoice payments.

Payments report

Click View Report on Payments to review payment rows.

The payment detail report can include date and time, patient, payment type, amount, group, tax, discount, doctor, created by, metadata, next visit, phone, email, stats, and an Open Patient action.

Use it to reconcile daily payments, review discounts and taxes, or check who created a payment.

Invoices report

Click View Report on Invoices to review invoice rows.

The invoice detail report can include date and time, patient, invoice total, paid amount, remaining balance, discount, tax, doctor, created by, metadata, next visit, phone, email, stats, and an Open Patient action.

Use it to review debt, paid invoices, canceled invoices, and patient balances.

Procedures report

Click View Report on Procedures to review procedure rows.

The procedure detail report can include date and time, patient, procedure, quantity, total, doctor, next visit, phone, email, stats, and an Open Patient action.

Use it when the clinic needs to compare clinical production with payments or invoices.

Credits and refunds report

Click View Report on Credits & Refunds to review credit movement.

The detail report can include date and time, patient, amount and type, group, created by, invoice number, doctor, note, next visit, phone, email, stats, and an Open Patient action.

Use it to understand patient advance credits, returns of credits, and invoice payment refunds.

Charts

Finances includes charts for:

  • payments by date;
  • procedures by date;
  • payments by type;
  • payments by group;
  • top procedures by code.

These charts are useful when totals look unusual. For example, you can see whether a revenue change came from one procedure group, one payment type, or a particular date.

Useful features

  • Use date range and branch filters before reviewing totals.
  • Use View Report to open the records behind the summary cards.
  • Use table filtering and sorting inside detail reports when available.
  • Use Open Patient to review patient billing context.
  • Use Download Report to export the active Finances report.

The Credit/Debit Notes card currently shows totals in the dashboard. Detailed opening from that card may depend on the current app version and clinic configuration.
