Open visit details
Click a visit once to select it, then click it again to open Visit Details. You can also open a visit from the Bookings list or from a patient's workspace.
Entries without a patient open as calendar notes. Patient visits also show patient details and shortcuts.
Update visit information
Depending on your permissions and whether the visit is locked, you can update:
- date, start time, end time, or duration;
- room;
- primary provider;
- additional users;
- group or reason;
- procedures;
- the appointment note.
Click Save Changes when finished. If you opened the visit for a move, the button is labeled Confirm Time.
Status and check-in flow
Use the status control in the header to update the visit. The calendar supports statuses such as Unconfirmed, Confirmed, Checked in, Completed, No-show, and Canceled.
When checking in a patient, confirm the patient and visit shown in the confirmation dialog. After check-in, the visit flow can record:
- Arrived;
- Start;
- End.
These times track the patient's progress through the visit. Each step may remain unavailable until the previous one is completed.
If the clinic uses automatic queue printing, checking in can open the patient queue print page.
Notes and change history
The visit details window includes:
- Notes: review the comments attached to the visit and add a new comment;
- Changes: review the record creation entry and later changes to visit fields.
Use the appointment note for scheduling context. Use the patient's Clinical Notes area for clinical information. See Calendar Notes.
Reschedule a visit
You can change the date and time directly in Visit Details, drag the visit to another calendar time, or choose Reschedule from the actions menu.
When Reschedule is selected, choose the destination date, time, room, or provider on the calendar and then click Confirm Time. A patient notification may be requested when the move changes the scheduled visit details.
Lock a visit
Use Lock in the actions menu to protect a visit from unintended changes. Locked visits may not be editable or deletable. Users with the required administrative access may still be able to manage them.
Patient, billing, and follow-up actions
The actions menu can include:
- Open Patient: open the patient's workspace;
- Pay Debts: record payment for an outstanding patient balance;
- Create Invoice: start an invoice for the patient;
- Create Task: create a follow-up task connected to the patient;
- Print Queue: print the patient queue entry after check-in;
- Delete: remove the visit after confirmation.
Actions appear only when they apply, such as Pay Debts for an outstanding balance or Print Queue for a checked-in visit. Signatures may be unavailable in some clinic configurations.
Delete a visit
- Open Visit Details.
- Open the actions menu.
- Choose Delete.
- Confirm the deletion.
Deleting a visit does not automatically remove a recurring time slot that provided its availability. Locked visits and visits outside your permissions may not be deletable.
